Wholesale Enquiry Privacy Notice
Notice version: 2026-10-18
Effective date: 18 October 2026
This Notice explains how personal and business information is collected, used, shared, stored, and protected when a retailer uses Catalogy's wholesale enquiry features. It supplements Catalogy's Privacy Policy, Terms & Conditions, and Account Deletion Policy.
1. Platform operator
The Catalogy website, mobile site, Android application, seller portal, storefronts, and wholesale enquiry features are owned and operated by Ashima Technosoft Private Limited ("Catalogy", "we", or "our"). Catalogy provides catalogue, storefront, and communication software. It does not itself sell seller-listed products or act as a logistics, escrow, or payment intermediary unless expressly stated.
2. Who this Notice applies to
This Notice applies when you select products on a seller storefront, continue as a retailer, submit a verified enquiry, receive or respond to a quotation, import approved products, or contact Catalogy about that workflow. Catalogy vendor accounts are intended for people aged 18 or older who can enter a binding agreement.
3. Information we collect
- Your name, business or shop name, registered email address, mobile or WhatsApp number, and delivery location when provided.
- Your Catalogy user, tenant, storefront, and account-verification identifiers.
- The selected wholesaler, products, product references and URLs, images, quantities, displayed prices, and product snapshots.
- Enquiry references and status, quotation versions, prices, discounts, taxes, shipping, expiry, decisions, and approved-product import history.
- The notice version and acceptance time, browser or Android WebView information, security logs, and one-way IP evidence used for audit purposes.
Catalogy does not require or store your UPI PIN, bank password, card CVV, or similar sensitive payment credentials for a wholesale enquiry.
4. Why we use this information
- Verify your account and link the enquiry to the correct retailer and wholesaler.
- Deliver selected-product enquiries, prepare and respond to quotations, and import approved products when you choose to do so.
- Generate authorised CSV or XLSX files and maintain business, consent, approval, and import records.
- Prevent duplicate actions, impersonation, fraud, abuse, and unauthorised access.
- Provide support, resolve disputes, secure and improve the Platform, and meet legal, regulatory, accounting, and audit obligations.
Wholesale enquiry consent is not consent for unrelated advertising. Optional marketing consent, where offered, is collected and managed separately.
5. Information shared with the wholesaler
When you submit an enquiry, Catalogy shares information reasonably required by the selected wholesaler, including your identity and business details, contact information, optional delivery location, selected products and quantities, enquiry status, and quotation or approved-product information. Review the wholesaler and products before submitting.
The wholesaler may use this information only for legitimate purposes connected with the enquiry, quotation, fulfilment discussions, record keeping, and legal obligations. The wholesaler is independently responsible for information it downloads or uses outside Catalogy.
6. WhatsApp and service providers
Catalogy may open WhatsApp with a prepared enquiry message. You control whether it is sent. Information sent through WhatsApp is also handled under WhatsApp's own terms and privacy practices. Choosing not to send the message does not remove an enquiry already submitted inside Catalogy.
Catalogy may use hosting, storage, email, security, monitoring, and infrastructure providers that receive only information needed to perform their services. We may also disclose information where applicable law or valid legal process requires it. Catalogy does not sell retailer personal information.
7. Independent catalogues
Importing approved products creates records in your own Catalogy account. You may edit permitted catalogue details and selling prices independently. Your changes do not change the wholesaler's catalogue, and later wholesaler changes do not automatically overwrite your imported copy unless a separately disclosed synchronisation feature is introduced and enabled.
8. Consent and withdrawal
Before a verified enquiry is submitted, Catalogy asks you to take a clear affirmative action confirming that your account details and selected products may be shared with the identified seller for enquiry and quotation processing. If you do not consent, the verified enquiry is not submitted.
You may withdraw consent for future consent-based processing by contacting us. Withdrawal does not invalidate earlier lawful processing and may prevent further quotation, import, or enquiry services. Records may still be retained where needed for legal obligations, fraud prevention, security, disputes, audit evidence, or legal claims.
9. Retention
We retain wholesale enquiry information only as long as reasonably necessary for the feature and stated purposes. Information may be retained after completion or account closure for disputes, security, fraud prevention, consent evidence, policy enforcement, tax, accounting, regulation, or legal claims. When no longer required, it is deleted, anonymised, or securely isolated under our procedures. Account deletion is also governed by the Account Deletion Policy.
10. Security
Catalogy uses reasonable safeguards including HTTPS, authentication, role-based access, tenant separation, restricted admin audit access, secure password and session controls, rate limiting, one-way hashing of wholesale consent IP evidence, duplicate-action protection, spreadsheet validation, and audit logging. No online service is completely risk-free; protect your credentials and promptly report suspected misuse.
11. Your choices and rights
Subject to applicable law and identity verification, you may ask whether we process your information; request access or correction; withdraw consent; request eligible deletion; or raise a grievance. Certain information may be retained or withheld to meet legal, security, dispute, fraud-prevention, or third-party-rights requirements. Information independently held by a wholesaler may also require a request to that wholesaler.
12. Automated decisions
Catalogy does not use this consent record to make a solely automated decision requiring a wholesaler to accept an enquiry or offer a particular price. The wholesaler controls its quotation and commercial decisions.
13. Changes to this Notice
We may update this Notice when the feature, law, providers, or information practices change. Each version has an identifier and effective date. Where a material change affects consent-based processing, we will present the updated notice and obtain new consent where required. Audit records retain the version accepted for each enquiry.
